Researchers Terms and Guidelines

  • Researchers undertake to obtain the copyright holder’s permission for the publication or reproduction of all materials, published or unpublished. They will ensure that any information obtained relating to living persons is used in accordance with the principles of The Data Protection Act 1998
  • Researchers can view one file at a time (alternative arrangements will be made for groups)
  • Follow the handling guidelines
    • All material should be placed back in the file from which it came in the order and condition it was found
    • When necessary use book supports to view and/or display material
    • Always handle material with clean, dry hands and when instructed should wear white cotton gloves
    • Handle items with care; do not put stress, pressure, fold or mark material
    • Researchers agree that they will be under staff supervision when viewing the archive
  • Hang bags and coats up – these cannot be taken with you to your desk
  • Pencils and laptops only – no pens
  • No food or drink
  • Be considerate to others using the office and reading room space – please turn your mobile phones off and keep noise to a minimum
  • Researchers may only view the material that they applied for unless this has been cleared by an authorised member of staff
  • Researchers may apply for digital copies or photocopies
    •  If they are accepted, they will have to pay a fee and the material will be sent within a week of payment
      • 10p for black and white photocopies (A4)
      • 30p for color photocopies (A4)
      • £1 per digital image
  • Researchers must comply with the relevant legislation on copyright and data protection when using information from the archives (see appendix)
